Worth knowing

FlowSavvy

  • Basic schedules only 2 weeks ahead and is limited to 3 repeating auto-scheduled tasks, 5 task lists and 1 set of scheduling hours.
  • Priority levels, task dependencies, syncing tasks out to other calendars, and the API, MCP and Zapier integrations all require Pro.
  • There is no native desktop app. On a computer it runs in the browser or as an installed progressive web app.
  • The vendor aims it at individuals and does not offer team or enterprise features.

TimeHero

  • There is no free plan. After the 7-day trial a paid subscription is needed to keep using it.
  • Basic has no projects, folders, recurring tasks or Zapier and Slack integrations.
  • Timesheets, the Gantt chart and workload reports are limited to Premium, at $22 per user / month billed yearly.
  • The iOS app's latest App Store version dates from December 2019 and the help center's newest feature article from August 2020. The site links no Android app.

FlowSavvy

Auto-scheduling
Places tasks into open time on the calendar based on due dates and durations, and can split a task around events. Basic plans 2 weeks ahead and Pro 8 weeks.
Automatic rescheduling
The schedule is rebuilt whenever an event or task changes, and a Recalculate button puts missed tasks back on the calendar. Reschedules are unlimited on both plans.
Scheduling hours
Sets of hours such as work or personal define when tasks may be scheduled. Basic includes one set; Pro allows unlimited profiles.
Calendar sync
Two-way sync with Google Calendar, Outlook.com and iCloud on both plans. Writing FlowSavvy tasks back to those calendars is a Pro feature.
Priorities and dependencies
Pro adds priority levels and dependency chains for tasks that must follow an order. On the free plan, tasks are prioritized by due date.
Task app sync, API and MCP
Syncs tasks with Todoist, Google Tasks, Microsoft To Do and Apple Reminders. A public API, an MCP server for ChatGPT and Claude, and Zapier are Pro-only.

TimeHero

Automatic task scheduling
Tasks are placed in the time left free by events on connected Google and Office 365 calendars, and the plan is redone when events, completions or priorities change.
Risk detection
A task is marked as at risk when it ends up planned close to its due date with little or no room left to reschedule it.
Recurring tasks
A repeating task plans itself inside its timeframe: one set to repeat once a week finds a slot between Monday and Friday. Professional and Premium only.
Workflow templates
Reusable project templates link task and event dates through dependencies, so a whole project can be scheduled across a team in one step. Professional includes 2.
Timers and timesheets
A timer can be started on any task and the time is logged when the task is completed. Timesheets comparing estimated and actual time are part of Premium.
Gantt, forecast and workload reports
Premium generates Gantt charts, forecasts of future schedules and workload views of each team member's capacity.
