Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.8

GPA, above 40 of the 48 other CRM tools we grade

Vtiger is a CRM that puts sales, marketing, help desk, projects and inventory in one system, with a shared customer record it calls One View. The cloud product has a free plan for up to 10 users and four paid editions, and cheaper Single App licenses can be mixed in for people who only need one of the five apps. A separate open-source community edition can be downloaded and self-hosted.

To get you started, here are 9 things to know about Vtiger, taken from its own pages and our grades.

No rating on record, and it's five apps in one, so there's a fair bit of finding your way round and setting up before it pays off.

The report card

Best for small firms wanting sales and support in one CRM

Vtiger puts sales, marketing, help desk, projects and inventory in one system, with one customer page for all of it. Ten people can use it free and paid plans start at $12 a user. But free stops at 3,000 records and one pipeline, One Growth stops at 15 users before a jump to $30 a head, AI is a $12 add-on, and there's a lot to set up.

ToolGPA report cardVtigerGraded Oct 10, 2026
SubjectGradeComment
Value for moneyBOne Growth is $12 a user a month on yearly billing, inside the cheapest quarter of this category against a $24 middle, with multiple pipelines, a customer portal, invoicing and 100,000 records. It stops at 15 users: past that it's One Professional at $30, and the AI is a $12 add-on.
Free plan and trialBOne Pilot is free for up to 10 users with a deal pipeline, 1,000 campaign emails a month, help desk basics, 3 GB of storage and the phone app. The wall is 3,000 records and one pipeline, and most teams will meet it.
FeaturesBOne customer page with the full history, a kanban deal pipeline, email campaigns with web forms and landing pages, a help desk with SLAs, invoices, sales orders and projects with Gantt views. The CRM job and the departments either side of it. Forecasting and lead scoring need One Professional.
Ease of useCNo rating on record, and it's five apps in one, so there's a fair bit of finding your way round and setting up before it pays off. What helps is that the cloud plans run in a browser with nothing to install and each customer's history sits on one page.
Platforms and integrationsBWeb, iPhone and Android, with the phone app on the free plan too, but no desktop app. It connects to Google Workspace, Microsoft Outlook and Teams, WhatsApp, Mailchimp, QuickBooks, DocuSign and Zapier, and there's an open-source edition you can host yourself.
Grade point averageGood, out of 4.02.8

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Vtiger is for

  • Fits if you're a team of up to 10 with under 3,000 records and want a free CRM
  • Works for teams where sales, support and invoicing should hang off the same customer record

Who it is not for

  • Tight if your contact list is big, because the free plan stops at 3,000 records and one pipeline
  • Pricey if you grow past 15 users, as One Growth stops there and One Professional is $30 a user
  • Not for you if you just want a simple pipeline, since this is five apps in one
  • Watch out: the AI on One Growth is a $12 a user add-on, and listed prices exclude local taxes
  • Pricey if you need forecasting or lead scoring, which start on One Professional at $30, or $42 monthly

Good to know

Good for

  • Small businesses that want sales, marketing, support and inventory in one system
  • Teams of up to 10 starting on a free plan
  • Developers who want an open-source CRM to self-host and modify

Worth knowing

  • The free One Pilot plan stops at 10 users and 3,000 records, and One Growth at 15 users and 100,000 records.
  • AI features listed under One Growth are marked as a paid Calculus AI add-on at $12 per user a month; One AI has them built in.
  • Listed prices exclude local taxes, and One Growth has no Single App license.
  • The open-source edition is self-hosted and separate from the cloud plans; Vtiger notes that hosting and upkeep are your cost.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

To replace Vtiger you would be making email sent in volume that still reaches the inbox. That is not a weekend's work, with an AI app builder or without one.

It is one of the better ones too: its GPA of 2.8 is higher than 40 of the 48 other CRM tools we grade. It costs $144 a year. Vtiger is open source, so there is a third way: take its code and run it yourself.

What you could make

  • Sales pipeline and invoicing: an app builder makes these well.

What you could not

  • Email sent in volume that still reaches the inbox.
  • Connections to other products, each kept working as those products change.
  • A real app for iOS and Android. Something home-made would be a web page.
  • It is priced for each person, which means accounts and billing for a team.
  • AI features, unless you pay a model provider for each request yourself.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. Vtiger’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
