Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.6

GPA, above 42 of the 79 other project management tools we grade

KanbanFlow is a lean project management tool from CodeKick AB that combines kanban boards with time tracking. Tasks sit in columns with work-in-progress limits and subtasks, and time can be logged with a Pomodoro timer, a stopwatch or by hand. The free version has no time limit, while swimlanes, file attachments, analytics, a timeline view and integrations belong to the Premium plan.

To get you started, here are 9 things to know about KanbanFlow, taken from its own pages and our grades.

  1. 1

KanbanFlow is a kanban board with a Pomodoro timer and stopwatch built in.

  2. 2

Paid plans start at $5 a month for each person

As its pricing page puts it: $5 per user / month (10% off when paid yearly).

  3. 3

    There is a free plan

  5. 5

    Kanban board with WIP limits

Columns are customized to match a workflow, and each can carry a limit on how many tasks it holds. Subtasks are checked off directly on the board.

  6. 6

    Pomodoro and stopwatch timers

Time is tracked on a task with a Pomodoro timer or a plain stopwatch, or logged by hand. The time spent report filters and groups the logged time.

  7. 7

    Swimlanes and relations

Premium boards can be split into horizontal swimlanes, and tasks can be related to one another across boards, for example to a portfolio board.

  8. 8

The report card

Best for kanban with a Pomodoro timer built in

KanbanFlow is a kanban board with a Pomodoro timer and stopwatch built in. The free version has no time limit and unlimited boards, and Premium is $5 a user a month. But swimlanes, attachments, search, custom fields, the timeline, analytics, the API and two-factor sign-in are all Premium, and it's web only with no native apps.

ToolGPA report cardKanbanFlowGraded Oct 10, 2026
SubjectGradeComment
Value for moneyBPremium is $5 a user a month, 10% less paid yearly, which puts it in the cheapest quarter of this category, and it's the only paid plan, so there's no ladder to climb. It brings swimlanes, attachments, custom fields, the timeline, analytics and the API.
Free plan and trialBThe free version never expires and has unlimited boards and tasks, WIP limits, subtasks, recurring tasks, both timers and a time spent report. What stings is that file attachments and search are Premium.
FeaturesCKanban plus a clock: columns with WIP limits, subtasks ticked off on the board, time logged by Pomodoro, stopwatch or hand, and on Premium swimlanes, a timeline and cumulative flow, burndown and cycle time charts. A smaller job than running projects, and search costs money.
Ease of useCNo store rating on record. A board and a timer is about as plain as this category gets, but the columns, limits and swimlanes are still yours to design, and on the free plan you can't search what you've built.
Platforms and integrationsBA web app only: no native mobile or desktop apps, so a phone gets the mobile web app on its home screen. Premium adds a REST API with webhooks, Zapier, a calendar feed and attachments from Dropbox, Google Drive, OneDrive and Box.
Grade point averageGood, out of 4.02.6

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who KanbanFlow is for

  • Fits if you time your work with the Pomodoro technique
  • Works for anyone who wants unlimited boards on a free plan and can do without search or attachments

Who it is not for

  • Skip it if you want a real phone app, as there's only a mobile web app for your home screen
  • Tight if you're staying free and attach files, since attachments and search are Premium
  • Not for you if you need two-factor sign-in or view-only roles without paying, because those are Premium too
  • Watch out: swimlanes, custom fields, the timeline, analytics charts, the API and Zapier all need Premium at $5 a user

Good to know

Good for

  • People who time their work with the Pomodoro technique
  • Teams that want a simple kanban board with WIP limits
  • Users who want unlimited boards on a free plan with no time limit

Worth knowing

  • Swimlanes, file attachments, search, custom fields and the timeline view are Premium features.
  • The analytics charts, the API, Zapier and the file-storage integrations also need Premium.
  • Two-factor authentication, view-only and custom permission roles are limited to Premium.
  • The site lists no native mobile or desktop apps; phones use a mobile web app added to the home screen.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

The plain part of KanbanFlow you could make: kanban boards, time tracking, Pomodoro timer, reports and Gantt & timelines. What surrounds it you could not. The 2 things listed below take a company, not a weekend.

It costs $60 a year.

What you could make

  • Kanban boards, time tracking, Pomodoro timer, reports and Gantt & timelines: an app builder makes these well.

What you could not

  • Several people working in it at the same moment.
  • It plugs into other products, Zapier, Dropbox and Google Drive among them, and has an API.

What this rests on. KanbanFlow’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
