Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.4

GPA, above 27 of the 123 other to-do list apps we grade

Toodledo is a task manager that also includes notes, custom multi-column lists, outlines and a habit tracker. Tasks can carry folders, contexts, tags, priorities, goals, timers and locations, and a Hotlist surfaces the ones it rates as most important. It runs in a web browser and in iOS and Android apps. The free plan allows unlimited tasks, while subtasks, saved searches and Google Calendar sync start on the Standard plan.

To get you started, here are 9 things to know about Toodledo, taken from its own pages and our grades.

Signing up and making a first list is quick; getting it the way you want it isn't.

    Web, iOS and Android.

  5. 5

    Task attributes and filters

  6. 6

    Hotlist and Scheduler

The Hotlist gathers tasks that are due soon or have a high priority, star or status. The Scheduler, on Plus, suggests what to work on in the free time you have.

Alongside tasks there are formatted notes in folders, multi-column lists with more than 20 column types, and nested outlines. Free accounts get 30 items per list and outline.

The report card

Best for a task manager you can tune field by field

Toodledo is a task manager with many fields on every task, folders, contexts, goals, statuses, timers and locations, plus notes, lists, outlines and a habit tracker under one account. The free plan takes unlimited tasks, but subtasks, saved searches and Google Calendar sync start on Standard at $3.99 a month, the Scheduler and uploads need Plus at $5.99, and there's no desktop app, only the web.

ToolGPA report cardToodledoGraded Oct 10, 2026
SubjectGradeComment
Value for moneyCStandard is $3.99 a month billed annually, or $4.99 monthly, which is exactly the middle of what this category charges rather than under it. It unlocks subtasks, saved searches and Google Calendar sync. The Scheduler, file uploads and tasks by email wait for Plus at $5.99.
Free plan and trialCUnlimited tasks, recurring tasks, simple alarms and device sync are free. But 10 folders, 5 habits, 30 items per list or outline and 1 week of history are caps you'll walk into, and there are no subtasks at all until you pay.
FeaturesBTasks carry priority, start and due dates, length, status, folder, context, goal and tag, and a Hotlist pulls up what matters most. Then notes, multi-column lists, outlines, habits with graphs, shared folders and alerts when you're near a place with tasks. The whole job, covered.
Ease of useCNo rating on record, and this is a web app whose whole appeal is adjusting settings and task fields until it fits you, which is work before it's useful. Signing up and making a first list is quick; getting it the way you want it isn't.
Platforms and integrationsBWeb, iPhone and Android, with Google Calendar sync on paid plans, IFTTT and a public API. Real things to connect to, then, but no desktop app is listed, so on a computer you work in the browser and it tops out here.
Grade point averageFair, out of 4.02.4

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

The plain part of Toodledo you could make: tasks, notes, habit tracking, goals and time tracking. What surrounds it you could not. The 5 things listed below take a company, not a weekend.

That makes this kind of software worth paying for, not this one in particular: 76 of the 123 other to-do list apps grade higher. It costs $47.88 a year.

What you could make

  • Tasks, notes, habit tracking, goals and time tracking: an app builder makes these well.

What you could not

  • A real app for iOS and Android. Something home-made would be a web page.
  • It plugs into other products, Google Calendar and IFTTT among them, and has an API.
  • What a company asks for before it lets staff use something: roles and permissions.
  • Sharing with other people, which means accounts and invitations.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. Toodledo’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
