- Smart Add
- A task and its properties are entered on a single line, including due date, priority, repeat rule and tags.
- Smart Lists and search
- A search can be saved as a Smart List. Almost 50 search operators are available, covering criteria such as priority, due date and how often a task was postponed.
- Sharing and giving tasks
- Lists can be shared and tasks given to other people. Basic accounts share a list with up to 2 others; Pro removes the limit and adds advanced sharing permissions.
- Subtasks
- A task can hold any number of subtasks, and subtasks can have subtasks of their own. Subtasks are a Pro feature.
- Reminders
- Reminders go out by email and text on every account. Reminders through the Android and iOS apps, plus badges and widgets, require Pro.
- MilkScript, MCP and API
- Pro members can write MilkScript code to automate tasks and connect AI assistants such as Claude and ChatGPT through an MCP server, which is in beta. An API is open to developers.
Toodledo
- Task attributes and filters
- Tasks can be tracked by priority, start and due date, length, status, folder, context, goal and tag, then searched, sorted and filtered. Saving a search needs Standard or higher.
- Hotlist and Scheduler
- The Hotlist gathers tasks that are due soon or have a high priority, star or status. The Scheduler, on Plus, suggests what to work on in the free time you have.
- Notes, Lists and Outlines
- Alongside tasks there are formatted notes in folders, multi-column lists with more than 20 column types, and nested outlines. Free accounts get 30 items per list and outline.
- Habits and goals
- The Habits section records daily progress and draws graphs and charts. Completed tasks can count toward a goal, which Toodledo tracks as goal chains.
- Collaboration
- Folders can be shared, tasks reassigned and another person's list managed, with permissions to read, edit or add items. Plus allows up to 5 collaborators.
- Alarms and location reminders
- Alarms arrive by email or in the mobile apps, and the apps can alert you near a place where you have tasks. Custom alarms start on Standard.
