Who each one suits

Mailparser

  • Copying lead or order emails into a CRM or spreadsheet
  • Recurring emails that follow a consistent layout
  • Teams that want rule-based extraction without writing code

Microsoft Power Automate

  • Organizations already licensed for Microsoft 365 or Dynamics 365
  • Automating older Windows applications that have no API
  • Approval processes that run through Teams and SharePoint

Worth knowing

Mailparser

  • There is no free plan: the trial lasts 30 days and includes 30 credits.
  • Images and scanned documents cannot be parsed; the vendor points to its separate product, Docparser, for documents that need OCR.
  • On Starter, multi-factor authentication, duplicate detection, webhook retries and modifying extracted data are paid add-ons, and no team members are listed.
  • When a paid plan runs out of credits, new emails wait in the queue until more credits are bought, the plan is upgraded or the cycle resets.

Microsoft Power Automate

  • The free license and Microsoft 365 licenses cover standard connectors only; premium and custom connectors need Premium at $15 per user / month.
  • Unattended desktop flows need a Process license at $150 per bot / month, and the machine must be registered by a Premium user.
  • The desktop app runs only on Windows 10, Windows 11 and Windows Server, and devices with ARM processors are not supported.
  • The standalone iOS and Android app reached end of support on August 31, 2026; Microsoft points mobile users to the browser portal and Teams.

Key features

Mailparser

Custom parsing rules
Rules that you set up pull fields from an email's subject, header, body and attachments, and can capture details such as the sender and recipients.
Automatic rule generation and templates
A parser creator analyzes the structure of an email and generates rules for it, and a library of rule templates covers emails from popular sites in several industries.
Attachment parsing
Text is read from PDF, DOC, DOCX, XLS, XLSX, CSV, TXT and XML attachments, and spreadsheet rows can be extracted as tables. Images and scanned documents are not supported.
Routing to inboxes
Emails in different formats can all be forwarded to one address; routing rules then pass each message to the inbox it belongs to, so no mail filters are needed on the sending side.
Exports, integrations and webhooks
Parsed data downloads as XLS, CSV, JSON or XML, or is sent on to tools such as Google Sheets and Salesforce, to Zapier, or to any endpoint by webhook.
Data manipulation and cleanup
Extracted data can be reformatted, with sums, minimums, maximums and calculated columns. Emails and parsed data can be erased automatically minutes, hours or days after parsing.

Microsoft Power Automate

Cloud flows
Automated, scheduled and instant flows connect cloud apps, and on-premises services through a data gateway. Microsoft cites more than 1,400 prebuilt, certified connectors, and custom connectors can be built.
Desktop flows (RPA)
Power Automate for desktop builds or records flows that operate Windows and web applications through their interfaces. Attended runs happen with a person present; unattended runs need a Process license.
Copilot authoring
Copilot in Power Automate creates, edits and extends flows from a natural-language description, in both the cloud designer and the desktop app.
Process and task mining
Analyzes how a process actually runs to find steps worth automating. Premium includes 50 MB of mining data per user, and a tenant-wide add-on provides 100 GB.
Microsoft 365 integration
Flows can be built and run from inside Teams, Excel, SharePoint and OneDrive. Microsoft 365 licenses include the right to create and run cloud flows with standard connectors.
Governance and hosted machines
Managed Environments and data loss prevention policies give admins control over flows. Hosted Process runs unattended bots on virtual machines that Microsoft manages.
