Worth knowing

Tango

  • The Free plan stores only 5 workflows in the team library and has no PDF, HTML or Markdown export.
  • The Mac and Windows desktop app is limited to Pro and Enterprise, and Guide Me does not work on workflows captured with it.
  • Tango has no mobile app and does not capture on phones or tablets; the extension is for Chrome and Edge, not Firefox or Safari.
  • Every member of a Pro workspace needs a paid seat, and Pins, automations, SSO and translation are Enterprise only.

Whale

  • The Free plan is capped at 10 members, 1 creator and 20 Playbook items, and has no PDF or Word export, version history or insights.
  • Paid plans start at $249 a month billed yearly with 3 creators; extra creators on Scale cost $29 each a month, or $39 on monthly billing.
  • Enforced SSO and the video editor need Advance, and API access, SCIM provisioning and approval flows are Enterprise only.
  • Vendor pages disagree on members: the plan cards say limited on Scale and Advance, while the machine-readable pricing file says unlimited.

Click through a process and Tango builds a guide with a screenshot, highlight and description for each step. Browser capture is free; desktop capture needs Pro or Enterprise.
Guide Me walkthroughs
Guide Me replays a workflow as a live walkthrough that highlights each step inside the web app. Workspace members get it on every plan; guests can try it 3 times.
Editing and blurring
Pro adds screenshot annotation and redaction, blurring of sensitive data during capture, voice transcription and AI-generated content. Automatic PII detection is Enterprise only.
Sharing and export
Every plan shares a workflow by URL or embed. PDF download, HTML and Markdown export, video embeds, and viewership and completion insights start on Pro.
Pins
On Enterprise, guidance can be pinned to a button, field or screen in a web tool, so a note, warning or link to the full guide appears when someone hovers over it.
Automations
Enterprise workspaces can turn guides into browser automations that carry out repetitive steps and fill in extracted data while a person keeps control of the decisions.

AI SOP writer and importers
AI drafts new procedures, polishes wording and gives each SOP a health score, and existing PDF and Word documents can be imported and turned into editable SOPs.
Step and screen recorders
The Step Recorder captures a process on screen as a visual step-by-step guide, and recorded or uploaded videos are transcribed by AI into written SOPs.
Ask Alice
Members put questions to Alice, an AI assistant trained on the workspace's own content, to find an SOP or learn how to do something. Asking Alice does not use AI credits.
Training flows and quizzes
Training flows assign content by team and role, and AI generates quiz questions from Whale content. Scale includes 5 flows and 15 quizzes; Advance removes the limits.
Sharing where work happens
SOPs are shared by link, QR code or read assignment with a due date, opened in the iOS and Android apps, and consulted from the CoPilot browser extension.
Insights and access control
Paid plans add knowledge-use and team performance insights, user groups, user roles and version history. Approval flows are limited to Enterprise.

    Pro for 1 to 2 users is $22 per user a month on an annual plan against $26 on a monthly plan. For 3 or more users it is $15 against $20.

    15% off for nonprofits

    Tango's help center offers nonprofits a 15% discount, requested by email with a 501(c)(3) letter as proof of status.

  • Education

    15% off for students and faculty

    The same 15% discount applies to students and faculty who use a .edu email address for their Tango subscription and request it by email.

Whale

  • Annual discount

    Save about 37% with yearly billing

    The pricing page marks yearly billing as saving 37%: Scale is $249 a month instead of $399 billed monthly, and Advance $499 instead of $799.

  • Nonprofit

    20% off for nonprofits

    Whale's pricing FAQ says nonprofits get a 20% discount on all of its subscriptions.
