How we grade them
| 4.0GPAConfluenceExcellent | 3.2GPAPapyrsVery good | |
|---|---|---|
| Value for money | AStandard is $6.70 a user a month for the first 100 users, about half what paid plans in this category usually start at, and it comes with 250 GB, page permissions and guests. Mind the pricing page: the $5.42 it shows first is an average for a 300-user team. | BTeam Wiki is $89 a month for up to 20 users billed annually, or $99 monthly. Fill the band and that's cheap per head; with five people it isn't. A custom domain and SAML need Company Wiki at $347, and read-only viewers count as users. |
| Free plan and trial | AFree for up to 10 users, with pages, spaces, databases, templates and 2 GB of file storage. A small team could stay here for good. You don't get space or page permission settings, though, so you can't lock a page down. | BThe free Personal Wiki has all core features, unlimited pages and 1GB of storage, but it's for one user with two subsites. Teams get a 14-day trial with everything, and no automatic charge when it ends. |
| Features | APages in spaces with a page tree, live editing by several people, comments and version history. Then whiteboards linked to Jira, databases you can lay out as tables, cards or boards, rule-based automation, and Rovo AI search and chat on paid plans. That's the whole wiki job. | APages built from widgets for text, files, checklists, polls and tables, subsites with their own access settings, search across pages, files and discussions, version history you can roll back, a client portal, and form and database widgets on the top plan. |
| Ease of use | A4.6 from about 3,700 App Store ratings. It's cloud software you sign up for, and Standard and Premium have a 7-day trial that asks for no payment information. Templates mean you rarely start a page from nothing. | BNo app rating on record. Pages are put together by drag and drop, with a Markdown mode for people who prefer typing, and people can log in with Google Workspace, Slack or Microsoft accounts. |
| Platforms and integrations | AWeb, iPhone and Android, with Jira, Jira Service Management, Trello, Loom, Microsoft Teams, Google Drive, GitHub and Figma connected. There's no desktop app on record, so at a computer it's the browser. | BA web app with an API, Zapier, and connections to Slack, Google Workspace, Microsoft Teams, Google Drive and Okta. There are no native apps: phones get iOS and Android web apps. |
| Best for | team wikis that sit next to Jira | a drag-and-drop company intranet at a flat price |

Key features
Confluence
- Pages and spaces
- Pages hold project plans, meeting notes and policies, and are grouped into spaces with a page tree. Several people can edit at once, with inline and page comments and version history.
- Whiteboards
- Freeform canvases for brainstorming and diagrams, with built-in links to Jira. Free allows 3 active whiteboards per user, Standard 10, and Premium and Enterprise have no limit.
- Databases
- Structured collections that gather information from Jira and other apps and can be laid out as tables, cards or boards.
- Rovo AI
- Rovo Search, Chat and Agents come with paid plans and are metered in monthly credits: 25 per user on Standard, 70 on Premium and 150 on Enterprise.
- Automation
- Rule-based automation with templates and a low-code builder. Monthly allowances run from 50 steps per subscription on Free to 500 steps per user on Enterprise.
- Permissions and external sharing
- Paid plans add space and page permissions, view-only public links, anonymous access and up to 5 free guests per paid user, each limited to a single space.
Papyrs
- Drag-and-drop page editor
- Pages are built by dropping in widgets for text, files, checklists, polls, tables, videos and embeds. A Markdown mode and a keyboard command palette are there for people who prefer typing.
- Subsites and permissions
- Each subsite is a separate workspace with its own pages, menu bar, access and notification settings, used to organize content by topic, project or team.
- Search and version history
- Search covers pages, files, discussions and forms. Page and file versions can be compared and rolled back for the last 120 days, or without a time limit on Company Intranet.
- Forms and database views
- Form field widgets collect data and requests, and records can be listed, filtered, shown on a calendar and exported to CSV. These widgets are part of the Company Intranet plan.
- Client portal
- Sections can be shared with external people to run a client or community portal, with permission settings limiting what each person sees.
- Single sign-on and API
- People can log in with Google Workspace, Slack or Microsoft accounts, SAML starts on Company Wiki, and an API and Zapier connect Papyrs to other tools.
