|---|---|---|
| Value for money | B$82.50 a month covers up to 10 members on yearly billing, or $99 monthly, and each extra person is $4.17. Fill those ten seats and it's fair, with nothing held back for a dearer plan. Teams under 10 get their own price, but the site doesn't say what it is. | BPro is $15 a person a month billed annually once you have 3 or more, about the going rate among the click-capture tools it's up against. One or two of you pay $22 each. Every member of a Pro workspace needs a paid seat, and Pins and automations are Enterprise only. |
| Free plan and trial | CNo free plan. You get a 14-day trial with no credit card needed, and after that it's the paid plan or nothing. Fine for a look around, and that's it. | BFree forever for up to 10 users, with browser capture and sharing by link or embed. But the team library stops at 5 workflows, and there's no PDF, HTML or Markdown export. Five guides go fast. |
| Features | AProcedures, processes and policies that link to each other, then run as tasks with each step checked off. Add manager approvals, every version kept, quizzes, process maps, a click recorder and a public or private knowledge base. For SOPs, that's the whole job. | AClick through a process and you get a guide with a screenshot and description for each step, then Guide Me replays it as a walkthrough on the real screen. Pro adds blurring, annotation, exports and viewer insights. That's the whole job of a guide maker. It can't capture on phones or tablets, mind. |
| Ease of use | BNo rating on record to go by, so a B is as high as we go. It's all in the browser. SweetAI drafts a procedure from just a title, and the browser plugin turns your clicks into steps, so you're not staring at a blank page. | BNo rating on record to go by, so a B is as high as we go. Add the Chrome or Edge extension, click through the task, and the guide builds itself with a screenshot for every step. No writing-up needed. |
| Platforms and integrations | BWeb only, plus a browser plugin for recording clicks. The site lists no desktop or mobile apps. Zapier is the one integration on record, and there's a public API. | BA web app and a Chrome and Edge extension, with Mac and Windows apps on paid plans and Salesforce and HubSpot integrations. There's no mobile app, and no extension for Firefox or Safari. |
| Best for | procedures your staff tick off step by step | turning your clicks into how-to guides |

Who each one suits
SweetProcess
- Small and mid-sized businesses writing down recurring procedures for staff
- Teams that want procedures run as tracked checklists, not only read
- Companies publishing procedures and policies as a client-facing knowledge base
Tango
- Documenting how to do a task in a web app without writing it up
- Onboarding staff onto new software with on-screen walkthroughs
- Small teams: a free workspace holds up to 10 users
Worth knowing
SweetProcess
- There is no free plan: after the 14-day trial the price is $99 a month for up to 10 members, or $82.50 a month billed yearly.
- The site says teams of fewer than 10 employees get separate pricing after starting a trial, but it does not publish the amount.
- The vendor describes the product as completely web-based; its site lists a browser plugin but no desktop or mobile apps.
- Having SweetProcess staff migrate existing SOPs into an account is an optional service with its own fee.
Tango
- The Free plan stores only 5 workflows in the team library and has no PDF, HTML or Markdown export.
- The Mac and Windows desktop app is limited to Pro and Enterprise, and Guide Me does not work on workflows captured with it.
- Tango has no mobile app and does not capture on phones or tablets; the extension is for Chrome and Edge, not Firefox or Safari.
- Every member of a Pro workspace needs a paid seat, and Pins, automations, SSO and translation are Enterprise only.
Key features
SweetProcess
- Procedures, processes and policies
- Step-by-step procedures can be combined into a larger process, and policies are kept alongside them and linked from inside a procedure or process.
- Tasks and data capture
- A procedure or process can be assigned as a task and tracked as each step is checked off. A form builder adds fields to a step to collect information while the task is done.
- Public or private knowledge base
- Existing procedures and policies can be published as a knowledge base for employees or clients on the company's own domain, with search, feedback forms and tracking.
- Approvals and version history
- Any teammate can suggest an improvement and a manager approves it before it goes live. Every change is tracked and highlighted, and any earlier version can be restored.
- AI drafting and click recording
- SweetAI writes a policy or procedure from a document title, and a browser plugin records clicks in a workflow and turns them into a procedure.
- Quizzes and process maps
- Quizzes check how well staff know a policy, process or procedure, and process maps draw each decision and step of a procedure as a diagram.
Tango
- Workflow capture
- Click through a process and Tango builds a guide with a screenshot, highlight and description for each step. Browser capture is free; desktop capture needs Pro or Enterprise.
- Guide Me walkthroughs
- Guide Me replays a workflow as a live walkthrough that highlights each step inside the web app. Workspace members get it on every plan; guests can try it 3 times.
- Editing and blurring
- Pro adds screenshot annotation and redaction, blurring of sensitive data during capture, voice transcription and AI-generated content. Automatic PII detection is Enterprise only.
- Sharing and export
- Every plan shares a workflow by URL or embed. PDF download, HTML and Markdown export, video embeds, and viewership and completion insights start on Pro.
- Pins
- On Enterprise, guidance can be pinned to a button, field or screen in a web tool, so a note, warning or link to the full guide appears when someone hovers over it.
- Automations
- Enterprise workspaces can turn guides into browser automations that carry out repetitive steps and fill in extracted data while a person keeps control of the decisions.
