Welcome

What these tools do, how many we grade and what to know before choosing

52

docs and wiki tools we grade, from their own pages

Shared documents and team knowledge bases that keep how-we-work in one place.

Before you choose, here are 8 things to know about docs and wiki tools, worked out from every one we grade.

  1. 1

We grade 52 docs and wiki tools

38 of them are free or have a free plan, and 12 more let you try before paying. Everything in this guide comes from their own pages and our grades.

  2. 2

Paid plans start at $16.50 a month in the middle

From $0.83 (Zoho Learn) to $249 (Whale), going by what each one's paid plans start at.

  3. 3

Best value: ONLYOFFICE, Zoho Writer, Zoho Learn and Wiki.js

Nothing on our chart scores higher than these without costing more.

  4. 4

17 of 52 have iPhone and Android apps

51 run in a web browser and 14 have a Windows app. Check the one you need before you fall for anything.

  5. 5

    The middle GPA is 2.6

9 score 3.0 or higher. The highest is Zoho Writer, at 3.6.

  6. 6

    Best free option: Zoho Writer

Zoho Writer has the highest GPA of the free ones, 3.6. Free online word processor with AI and document automation.

  7. 7

52 worth keeping, 0 you could make

By our keep-or-make rules, 52 do something you couldn't reasonably build yourself, 0 are simple enough to make with an AI app builder, and 0 are a close call.

  8. 8

1 price changes in the past year

That's how many price moves we've recorded for docs and wiki tools in twelve months. Prices change, so check the maker's page before you pay.

Part 02 · Top three

Our top three

The three we'd look at first, and who each one suits

The three docs and wiki tools we'd look at first. First place suits the most people; second and third are the best picks for the people it leaves out. Each has an Insider's Guide of its own.

  1. 1st

    3.4GPA

    Google Docs

    Free plan · from $7/mo

    For: Most people

Google Docs is free with a personal Google Account, and several people can write, comment on and revise the same document at once, with version history and sharing settings for who can view, comment or edit. It runs in a browser and on iPhone and Android, edits Word files directly, and its iPhone and iPad app averages 4.8 from about 3.3 million ratings. Know the limits: no Windows or Mac desktop app is listed, and offline editing on a computer needs Chrome or Microsoft Edge with an extension. The business version comes only with Google Workspace, from $7 per user a month on a 1-year commitment, and Gemini in Docs starts at Business Standard, at $14.

    3.0GPA

    Confluence

    Free plan · from $6.70/mo

For: Teams that want a wiki

Confluence is a team wiki: pages for plans, meeting notes and policies are grouped into spaces with a page tree, several people can edit at once, and whiteboards and databases sit alongside. The Free plan covers up to 10 users, and Standard is $6.70 per user a month, billed monthly, for the first 100 users. It runs on the web, iPhone and Android, and its iPhone and iPad app averages 4.6 from about 3,700 ratings. It is second because it is built for teams and its Free plan stops at 10 users and 2 GB of storage, with no space or page permission settings, where Google Docs is free for anyone with a Google Account. Enforced SSO needs a separate Atlassian Guard subscription below Enterprise.

  3. 3rd

    2.8GPA

    Outline

    Free plan · from $10/mo

For: Teams that want a wiki on their own servers or at a flat price

Outline is a team wiki with a Markdown-friendly editor, real-time collaboration and search, and its source code is public, so it can run on your own infrastructure: the self-hosted Community Edition costs $0, with unlimited documents and version history. If you would rather not run a server, Outline hosts it for a flat $10 a month for a team of 1 to 10 members. It is third because the cloud version has no free plan, only a 30-day trial, where Confluence is free for up to 10 users, and no mobile apps are listed. The Community Edition lacks AI answers, guest users, SAML 2.0 and the audit log, and an 11th cloud member moves a team from $10 to $79 a month.

Part 05 · Keep or make

Keep or make?

Which are worth paying for, and which you could make yourself

0

Simple enough to make yourself, of 52

Some software does something you couldn’t reasonably build yourself. Some is simple enough that an AI app builder could make the core of it in an afternoon. Here’s where docs and wiki tools land, by the same rules for every tool.

  • 52

    Keep it

It does something you could not reasonably make for yourself, or it costs nothing.

  • 0

    Your call

You could make the core of it, and you would give something up.

  • 0

    You could make this

What it does is the kind of thing an AI app builder makes well, and it charges every month.

Worth keeping

  • Zoho Writer

The plain part of Zoho Writer you could make: documents and templates. What surrounds it you could not. The 7 things listed below take a company, not a weekend.

  • Google Docs

The plain part of Google Docs you could make: documents and templates. What surrounds it you could not. The 4 things listed below take a company, not a weekend.

  • ONLYOFFICE

To replace ONLYOFFICE you would be making a spreadsheet engine with its formulas. That is not a weekend's work, with an AI app builder or without one.

  • XWiki

The plain part of XWiki you could make: wiki. What surrounds it you could not. The 4 things listed below take a company, not a weekend.
