Who each one suits
Mailbutler
- People who want tracking and templates inside Apple Mail, Gmail or Outlook
- Teams sharing an info@ or sales@ inbox without moving to a new mail app
- Mixed teams whose members use different email clients
Polymail
- Founders and salespeople who run their deals from the inbox
- Replacing separate tracking, scheduling and outreach add-ons with one app
- Managing several Gmail, Outlook or iCloud accounts in one inbox
Worth knowing
Mailbutler
- It is an add-on, not a mail client: it runs inside Apple Mail, Gmail in Chrome, Safari or Edge, and Outlook. The iOS and Android apps are companions that need a desktop install.
- The free Starter plan puts a visible Mailbutler watermark on sent emails and covers only basic tracking and signatures.
- The AI Smart Assistant, per-recipient tracking and full open history need the Smart plan at $11 per user / month, billed yearly.
- HubSpot and Salesforce tracking sync, a custom tracking subdomain and IP exclusion are limited to Business. Custom SMTP is listed as coming soon.
Polymail
- There is no free plan: after the 7-day trial a paid plan is needed to keep using the app.
- Basic connects only 2 email accounts; sequences and up to 20 accounts need Premium at $24 per user / month, billed yearly.
- The download page offers Mac, Windows and iOS apps only, alongside the web app; no Android or Linux app is listed.
- Salesforce integration, SAML single sign-on and advanced analytics are limited to the custom-priced Enterprise plan.
Key features
Mailbutler
- Email tracking
- Shows when a message was first opened and its links first clicked, with real-time notifications. Full open history, device and location details and per-recipient tracking start at the Smart plan.
- Templates and mail merge
- Message templates with placeholders, and mail merge that fills them from Apple, Google or Outlook contacts, HubSpot, Salesforce or a CSV file. Both start at the Professional plan.
- Inbox collaboration
- On a shared inbox you already have, teammates can assign emails, see who is viewing or replying to a message, and share notes, tasks and color-coded tags.
- Automations
- Rules made of a trigger, optional conditions and actions can tag emails, add notes or tasks and apply signatures when a draft is created, an email is sent or opened, or a link is clicked.
- Smart Assistant
- The AI assistant drafts emails and replies from a few keywords, corrects and rephrases drafts, summarizes messages and finds to-dos in them. It is part of the Smart and Business plans.
- Email signatures
- Signature templates, custom HTML signatures, call-to-action buttons and team sharing are on every plan. UTM link personalization and dynamic content need Business.
Polymail
- Email tracking
- Per-recipient open tracking plus link and attachment tracking, with every open, click and download timestamped in a searchable activity feed.
- Follow-up reminders and Read Later
- A reminder returns a thread to the inbox if nobody replies within a set time, and Read Later moves non-urgent mail away until the date and time you choose.
- Send later and templates
- Schedule an email for later delivery, even while offline, and reuse message templates with placeholders. Premium lets a team share templates.
- Sequences
- Automated, personalized follow-up emails for outbound outreach, run from the inbox rather than a separate sales tool. Sequences are part of the Premium plan.
- Calendar scheduling
- Share your availability so contacts can book a time without back-and-forth, and send calendar invites from the app. Basic includes 1 calendar page and Premium 5.
- Shared conversations
- Comments and mentions let teammates discuss a thread privately, with permission controls, instead of forwarding it or adding people on BCC.
