Who each one suits

Google Calendar

  • Anyone who already has a Google Account and wants a free calendar
  • Organizations standardizing on Google Workspace for mail, files and meetings
  • Taking bookings through a single free appointment page

Toki

  • People who would rather message or speak to a calendar than fill in forms
  • Keeping work, family and personal plans together on every device
  • Anyone who needs a phone call as a reminder for events they cannot miss

Worth knowing

Google Calendar

  • The paid version is only sold as part of Google Workspace, which also includes Gmail, Drive and Meet.
  • Personal accounts and Business Starter get one booking page; extra schedules, payments and reminders need Business Standard or higher, or an eligible Google One plan.
  • Time Insights and working hours and location are limited to work or school accounts, and Time Insights can only be viewed on a computer.
  • No desktop app is listed; Google offers it on the web and as Android and iOS apps.

Toki

  • AI features draw on a usage allowance that refreshes every 7 days; when it runs out they pause until it refreshes, or you upgrade or buy credits.
  • Coordination, where the assistant emails attendees for you, and creating events by emailing Toki are limited to paid plans.
  • Toki no longer works inside WhatsApp, following a change to WhatsApp's business terms.
  • Paid prices are shown as a 40% flash sale with no end date; the US App Store lists slightly different yearly prices ($35.90 and $83.90).

Key features

Google Calendar

Appointment booking pages
Publish a page where others pick a time on your calendar. Eligible paid plans allow several schedules, Stripe payments, email verification and up to 20 co-hosts.
Shared and layered calendars
Create calendars shared with a team or a whole organization, and view several calendars together, color-coded by category.
Scheduling from Gmail with Gemini
On Workspace plans, Gemini in Gmail can suggest meeting times and add events detected in an email with one click.
Google Meet and attachments
Events can carry a Google Meet video link and attached files, so the call and its documents open from the invitation.
Time Insights and working location
Work and school accounts can see how much time goes to meetings and who they meet most, and can share working hours and location.
Tasks on the calendar
Items from Google Tasks appear on the calendar next to events.

Toki

Events from text, voice and images
Send a casual message, a voice note, a screenshot or a photo of a poster, and Toki extracts the date, time and place and adds the event with its reminder.
Coordination
A named assistant emails the people you are meeting, checks their replies against your calendar and returns times that fit. It is limited to paid plans.
Booking links
Shareable links show your real availability across calendars. The other person needs no account, and both sides get confirmation and reminder emails.
Call Me and reminders
Reminders arrive as push notifications or alarms, and for events you cannot miss Toki can ring your phone. Call Me is free for all users.
To-dos and Triggers
To-dos hold plans that have no fixed time yet. Triggers watch for a condition you name, such as a price or a release date, and alert you when it is met.
Multi-calendar sync
Connects Google Calendar, Apple Calendar and Outlook Calendar: 3 calendar accounts on the Free plan and 5 on Plus and Super.
