How we grade them

Value for money
A$24.99 a year covers iPhone, iPad and Mac with every feature. That's about two dollars a month, in the cheap quarter of paid to-do apps. Skip the $3.99 monthly plan, which adds up to $47.88 over a year.
BMonthly is $2.00, Yearly $5.00 and Lifetime $10.00, all well under what to-do apps usually charge. So why not an A? Neither the App Store listing nor the website says what those purchases unlock, so we can't tell you what the money buys.
Free plan and trial
CNo free plan. New users get a one-month trial, which is a decent look, and then it's Firetask Pro or nothing. Nothing on record says whether the trial asks for a card.
BThe app is a free download on every Apple device it runs on. But the listing doesn't spell out where the free version stops, so we can't promise you'd stay on it for good.
Features
AInbox, In Focus, Waiting For and Someday lists, kanban boards you can sort by status or due date, a task calendar, projects inside portfolios, and templates. Type /tomorrow or @John while adding a task and it files itself.
AThe whole Getting Things Done kit is here: an Inbox for captures, Next Actions, Waiting For, projects and contexts. On top you get a calendar with day, week and month views, time blocks, routines, widgets and Apple Shortcuts actions.
Ease of use
BNo rating is on record for us to go by, so a B. There's no separate account to make, since it syncs through your own iCloud. Coming from Firetask 4 is fiddlier, as your data has to be exported and imported.
BNo rating is on record to go by, so a B. Quick Add reads normal language, and you move things around the calendar by dragging them. It's modeled on Getting Things Done, though, so there's a method to pick up as well as an app.
Platforms and integrations
CiPhone, iPad and Mac, with iCloud sync and links to Apple Calendar and Apple Reminders. That's it. No web, Windows or Android version is offered.
CiPhone, iPad, Mac, Apple Vision and Apple Watch, synced through iCloud. All Apple, though. There's no Android, Windows or web version, and Planning Mode isn't available on the Mac.

Worth knowing

Firetask

  • Apple only: there are apps for iPhone, iPad and Mac, and sync runs through iCloud. No web, Windows or Android version is offered.
  • After the one-month trial a Firetask Pro subscription is needed: $3.99 a month or $24.99 a year on the US App Store.
  • Firetask 5 is a new app: Firetask 4 data must be exported and imported, and the free upgrade leaves out attachments, journal entries and status notes.
  • CSV import is in the Mac app only; the manual says it will come to the iOS version.

Yata

  • Apple devices only: the App Store lists iPhone, iPad, Mac, Apple Vision and Apple Watch, and there is no Android, Windows or web version.
  • Neither the website nor the App Store listing says which features need the Monthly, Yearly or Lifetime purchase.
  • It requires iOS 17, iPadOS 17 or macOS 14 or later, and Planning Mode is not available on macOS.
  • English is the only language on the App Store listing.

Key features

Firetask

GTD focus lists
An Inbox with a badge count for unprocessed items, an In Focus list for today, a Waiting For list grouped by assignee and a Someday list follow a GTD-style flow.
Kanban boards
Drag-and-drop boards arrange tasks by status, focus, due date or priority, so a review can be done by moving cards between columns.
Task calendar
Monthly and weekly calendar views are built around tasks instead of events, with drag-and-drop rescheduling and repeating due dates.
Projects, portfolios and templates
Tasks are grouped into projects and projects into portfolios, and templates store reusable task lists. To-dos act as lightweight subtasks inside a task.
Command tagging and quick capture
Typing /tomorrow sets a due date and @John delegates a task while it is being created. A share extension and a global Mac hotkey add tasks from other apps.
Pomodoro timer
Effort can be estimated in Pomodoros, with a built-in timer and a running Pomodoro count for the tasks in focus.

Yata

Captures and Inbox
A capture holds a thought that is not yet actionable. The Inbox lists unprocessed captures until each is turned into an action, deferred with a reminder, filed in a list or trashed.
Next Actions, Waiting For and Projects
An action is scheduled for a date, marked as a Next Action or marked Waiting For. Projects group multi-step outcomes and can suggest next actions from checkboxes in their notes.
Contexts
Contexts work like tags for people, places or kinds of work. Actions and captures can carry several, and agendas filter items down to a chosen set of contexts.
Calendar with to-dos and events
To-dos and calendar events share List, Day, 3-Day, 5-Day, Week and Month views, and items are rescheduled by drag and drop. Planning Mode shows the calendar beside lists.
Time Blocks and Routines
A time block is an action attached to one or more parent actions that counts as done once the allotted time is spent. Routines are daily templates for recurring schedules.
Quick Add, widgets and Shortcuts
Quick Add recognizes natural language, interactive widgets run on the Home Screen, Lock Screen and StandBy, and Apple Shortcuts actions can add, edit and query items and attachments.
