How we grade them
| 3.8GPAMicrosoft To DoExcellent | 2.8GPAPlannduGood | |
|---|---|---|
| Value for money | AIt's free and there's no paid tier to be nudged towards. Lists, My Day, reminders, steps, notes and shared lists all cost nothing. | BPremium is $29.99 a year, or $3.99 a month, which is on the cheap side of typical. But what it adds is mostly basics, such as task groups, repeating reminders and import and export. There's still no cloud sync at any price. |
| Free plan and trial | AThe whole app is free with a personal Microsoft account or a work or school one. Even file attachments are in, up to 25MB on a task. Most people would never hit a wall. | BUnlimited tasks and notes with priorities, statuses, colours and reminders, and no account. But repeating reminders and task groups are Premium, and you get just 3 templates and 1 colour theme. |
| Features | BLists, due dates, reminders, notes, steps inside a task and My Day for choosing today's work. Solid basics. But sharing is boxed in: a list can only be shared between personal Microsoft accounts, or between accounts in the same workplace or school. | BEach task takes a priority from Urgent to Low and a status like To Do, In Progress or Done, and you can group, sort and drag by them. Templates cover routines and packing lists. The gap is sync. Sharing only works between devices on the same network. |
| Ease of use | A4.7 from about 268,000 App Store ratings. Sign in with the same account everywhere and your lists follow you. Unfinished tasks come back as suggestions the next day. | BWe have no App Store rating on record, so a B is as high as we go. There's no sign-up, so you open it and start adding tasks, and a template can fill in your first list for you. |
| Platforms and integrations | AWeb, Windows, Mac, iPhone and Android. Tasks also live in Outlook, Planner tasks show up here, Power Automate connects, and there's a public tasks API. No Linux app is listed. | CiPhone, iPad and Android only, with Google Calendar the one integration on record. The site says a desktop version for Linux and Mac is in the works. Delete the app and the data goes with it, unless you exported it first. |
| Best for | a free to-do list that shows up in Outlook | an offline phone planner with no account |

Worth knowing

- Lists can be shared only between personal Microsoft accounts or between accounts in the same workplace or school.
- No Linux app is listed; the vendor names Windows, Mac, iOS, Android and the web.
Planndu
- Repeating reminders, task groups, local sharing, import and export, extra themes and all but 3 templates need Premium.
- There is no cloud sync: sharing works only between devices on the same network, and deleting the app removes its data unless it was exported.
- It runs on iPhone, iPad and Android only. The site says a desktop version for Linux and Mac is in the works.

Key features
Microsoft To Do
- My Day
- A daily list that resets every night. Tasks left unfinished go back to the Tasks list and appear among the next day's suggestions.
- Lists, steps and notes
- Tasks sit in lists and can have due dates, reminders, notes, a breakdown into steps and up to 25MB of attached files.
- Shared lists
- A list is shared by sending an invitation link, and it stays in sync as members make changes. Access can later be limited to current members or switched off.
- Outlook and Planner
- Tasks are stored in Exchange Online, so they show up in both To Do and Outlook Tasks. Flagged email can be handled as tasks, and Planner tasks can be seen in To Do.
- Sync across devices
- Signing in with the same account on each device keeps lists in step; the vendor says the app updates every 5 seconds.
- Tasks API
- Microsoft points developers to the public Outlook Tasks REST API for reading and updating the tasks that To Do stores.
Planndu
- Tasks and notes
- Tasks, checklists and notes are unlimited, and a list can be formatted with checkboxes, bullets or numbers.
- Priority and status
- Each task takes a priority of Urgent, High, Medium or Low and a status such as To Do, In Progress or Done, and lists can be grouped and sorted by them.
- Drag and drop
- Tasks are reordered by dragging and can be moved between groups in the way cards move on a kanban board.
- Reminders
- A reminder sends a notification for a task. Repeating reminders on daily, weekly or monthly schedules are part of Premium.
- Templates
- Pre-built templates cover routines such as a morning routine, meal planner, groceries list and travel packing. Free includes 3 and Premium unlocks all.
- On-device storage and local sharing
- Data is stored on the device and never uploaded to Planndu servers. Premium can share tasks with devices on the same network and export or import a CSV file.
