Value for money
CPro is $29 a month, Team $49 and Business $99. Its listed rivals charge a few dollars. And the part managers want most, one view of every run with who checked each step, is Business only. The pricing page doesn't say if prices are per user.
AIt's free and there's no paid tier to be nudged towards. Lists, My Day, reminders, steps, notes and shared lists all cost nothing.
Free plan and trial
BFree with no credit card, but it holds just 2 checklists. You do get sections, folders, process runs and a read-only link. Guest links, reminders and exports all need Pro.
AThe whole app is free with a personal Microsoft account or a work or school one. Even file attachments are in, up to 25MB on a task. Most people would never hit a wall.
Features
BMaster checklists with separate runs, guest links for people without accounts, a template library and scheduled email reminders. It does repeat procedures well. But reminders only email the checklist's owner, not the person doing the run.
BLists, due dates, reminders, notes, steps inside a task and My Day for choosing today's work. Solid basics. But sharing is boxed in: a list can only be shared between personal Microsoft accounts, or between accounts in the same workplace or school.
Ease of use
BNo App Store rating is on record, as there's no app. It runs in the browser with nothing to install, and a guest can tick off a run from a link without signing up. That's about as low-effort as handing over a clipboard.
A4.7 from about 268,000 App Store ratings. Sign in with the same account everywhere and your lists follow you. Unfinished tasks come back as suggestions the next day.
Platforms and integrations
CWeb only. The site lists no mobile or desktop apps and no integrations, so on a phone it's the browser. You can embed a checklist and export to CSV or PDF on Pro.
AWeb, Windows, Mac, iPhone and Android. Tasks also live in Outlook, Planner tasks show up here, Power Automate connects, and there's a public tasks API. No Linux app is listed.

Key features

Checkli

Master checklists and runs
Starting a process copies a checklist into a new run with every step unchecked. The original stays as the master, so each day's run keeps its own record.
Guest process links
On Pro, a run can be sent as a link that lets someone without an account check off the steps. Their checks are saved as completed by Guest.
Read-only links and collaborators
Any checklist has a read-only link for viewing. A collaborator invited by email has an account and can edit the checklist itself.
Template library
Free templates can be searched or browsed by category and copied into an account, and a finished checklist can be published to a public page.
Email reminders
On Pro, a reminder emails the checklist owner on a daily, weekly or monthly schedule or once on a custom date, with a link back to the checklist.
Team assignment and run records
Team adds a workspace and starting a process for a teammate. Business lists open and finished runs and records who checked each step and when.

Microsoft To Do

My Day
A daily list that resets every night. Tasks left unfinished go back to the Tasks list and appear among the next day's suggestions.
Lists, steps and notes
Tasks sit in lists and can have due dates, reminders, notes, a breakdown into steps and up to 25MB of attached files.
Shared lists
A list is shared by sending an invitation link, and it stays in sync as members make changes. Access can later be limited to current members or switched off.
Outlook and Planner
Tasks are stored in Exchange Online, so they show up in both To Do and Outlook Tasks. Flagged email can be handled as tasks, and Planner tasks can be seen in To Do.
Sync across devices
Signing in with the same account on each device keeps lists in step; the vendor says the app updates every 5 seconds.
Tasks API
Microsoft points developers to the public Outlook Tasks REST API for reading and updating the tasks that To Do stores.
