Worth knowing

Google Tasks

  • Assigning tasks from Google Docs is marked as a premium feature for some Workspace Business and Enterprise plans.
  • Shared tasks cannot have subtasks and cannot repeat.
  • No desktop app is listed: Google offers Tasks in the browser and as Android and iOS apps.
  • On work or school accounts, an administrator controls whether Tasks is available.

  • Device sync, automatic cloud backup, shared lists and the web app all require Premium.
  • The free version is limited to 3 tags, and restoring a manual backup needs a donation or a Premium subscription.
  • The vendor's site gives no prices: the US App Store lists two prices each for the monthly and yearly plans, and Google Play shows $0.99 to $69.99 per item.
  • The iPhone and iPad app was announced in July 2026, requires iOS 26 or later, and its version numbers are still below 1.0.

A task with a date and time appears on Google Calendar and triggers a reminder. A duration can be added and the time marked as busy.
Tasks from Gmail
An email can be turned into a task without leaving Gmail, and the task links back to the original message.
Lists, subtasks and stars
Separate lists hold different projects or topics. Larger tasks break down into subtasks, tasks reorder by drag and drop, and stars mark the important ones.
Repeating tasks and nudges
Tasks can repeat daily, weekly, monthly or annually. Nudges keep surfacing a reminder until the task is completed.
Shared tasks in Chat and Docs
Tasks can be assigned to teammates in a Google Chat space. Assigning from a Google Doc needs a work or school account on an eligible Workspace plan.
Gemini and the Tasks API
The Gemini app can add, edit and show tasks on request. Developers can read and update tasks through a REST API or automate them with Apps Script.

Lists are color-coded, reordered by drag and drop and can be divided into sublists. Tasks take subtasks, notes, priorities and flags.
Reminders and alarms
Tasks can have one-time or recurring notifications and alarms, and a task can be marked done or snoozed from the notification without opening the app.
Filtered lists, tags and calendar view
A filtered list gathers every task with a chosen tag, and a calendar view shows tasks by date. The free version allows 3 tags; Premium removes the limit.
Home screen widget
A widget mirrors the app on the home screen, so the day's tasks can be seen and a list opened with a tap.
Sync, backup and web app
Premium adds device-to-device sync, automatic cloud backup and a web app that runs in any browser. A manual backup to a local file is available in Settings.
Shared lists
A Premium user can create a shared list and invite others with a link. The list admin can lock the list against new members or remove a person.
