Worth knowing

Microsoft To Do

  • Signing in requires a personal Microsoft account or a work or school account.
  • Lists can be shared only between personal Microsoft accounts or between accounts in the same workplace or school.
  • No Linux app is listed; the vendor names Windows, Mac, iOS, Android and the web.

Zenkit To Do

  • To Do is not priced on its own: its pricing link leads to the Zenkit suite plans, which are charged per seat and exclude VAT.
  • No free plan appears on the pricing page. After the 14-day trial, an organization without a subscription may be limited to exporting its data.
  • Plus is capped at 10 users, 50 lists and 20,000 items, and leaves out iCal integration, user roles and email to project.
  • The US App Store listing shows a Zenkit To Do Plus in-app purchase at $3.99 and $35.99 with no period, and help articles still name a Free plan.

Key features

Microsoft To Do

My Day
A daily list that resets every night. Tasks left unfinished go back to the Tasks list and appear among the next day's suggestions.
Lists, steps and notes
Tasks sit in lists and can have due dates, reminders, notes, a breakdown into steps and up to 25MB of attached files.
Shared lists
A list is shared by sending an invitation link, and it stays in sync as members make changes. Access can later be limited to current members or switched off.
Outlook and Planner
Tasks are stored in Exchange Online, so they show up in both To Do and Outlook Tasks. Flagged email can be handled as tasks, and Planner tasks can be seen in To Do.
Sync across devices
Signing in with the same account on each device keeps lists in step; the vendor says the app updates every 5 seconds.
Tasks API
Microsoft points developers to the public Outlook Tasks REST API for reading and updating the tasks that To Do stores.

Zenkit To Do

Inbox and smart lists
New tasks land in an Inbox and are sorted into lists and folders. Smart lists such as Today, This Week, Starred and Assigned to Me pull tasks together across lists.
Due dates, reminders and repeaters
Tasks take due dates and reminders, and repeaters create recurring tasks at intervals you choose, including on workdays only.
Shared lists, assignments and comments
Lists and folders can be shared with other people, tasks assigned to members, and comments with @mentions keep the discussion on the task.
Subtasks, files and notes
Tasks break down into subtasks and checklists, take file attachments including from Dropbox, Box or Google Drive, and have descriptions formatted with Markdown or HTML.
Offline access across devices
Lists and tasks stay available offline and sync between the web app and the apps for iOS, Android, Windows, macOS and Linux.
Shared data with the Zenkit suite
To Do sits on the same data platform as other Zenkit products, so its tasks can also be opened in Zenkit's project tool with Kanban, Gantt and mind map views.
