How we grade them
| 3.4GPAPriority MatrixVery good | 2.8GPATaskaGood | |
|---|---|---|
| Value for money | CPro is $12 a user a month billed annually, or $15 monthly. A typical to-do app starts around $3.99, so this sits at the dear end, even for a team tool. And Gantt charts and advanced reports aren't in Pro. They need PM Collaborate, which costs the same but has a 5-user minimum. | BA membership is $2.99 a month, $9.99 a year or $19.99 once for Lifetime Access, all well under what to-do apps usually charge. So why not an A? Because the App Store listing doesn't say what a membership unlocks, and you can't judge a price without knowing what it buys. |
| Free plan and trial | BThere's a real free tier for up to 5 people, but it stops at 5 projects and 100 open items (250 counting finished ones), with Gantt charts and reports switched off. You land on it when the 14-day trial, which needs no credit card, runs out. | BIt's a free download, and the vendor's terms call it a freemium service. But nothing spells out where the free version stops, so we can't tell you how far you'll get before the membership screen. |
| Features | AEvery project is a four-quadrant matrix. Items carry an owner, followers, dates, progress, effort estimates, files and their own chat. Reports show status by project or teammate, Gantt charts come on the higher plans, and an Outlook add-in turns emails into tasks. That's the whole job and then some. | BIt does one thing, the four-box matrix, and builds neatly around it: a focus timer with 15, 25 and 45-minute presets, sessions saved to your calendar, a Schedule tab, 32 widgets and the matrix as your Lock Screen wallpaper. By design there are no folders, tags or projects. |
| Ease of use | A4.6 from about 1,400 App Store ratings. The idea is easy to pick up: four quadrants, and each task goes in one of them. | BDrag a task into a box, tap it, and the timer runs. Sync is through iCloud with no sign-up. The Lock Screen wallpaper is the fiddly bit, as it depends on a multi-step Shortcuts setup. There's no rating on record, so a B. |
| Platforms and integrations | AWeb, Mac, Windows, iOS, Android and browser extensions, and the native apps keep working offline. Add-ins put it inside Outlook and Microsoft Teams, and Gmail is on the list too. API developer access is listed only under Enterprise. | CiPhone, iPad, Mac and Apple Vision on the App Store, with iCloud, Apple Calendar, Reminders and Shortcuts hooked in. All Apple. It also needs iOS 18.4 or macOS 15.0 or later, so an older device is out. |

Key features
Priority Matrix
- Four-quadrant projects
- Each project is a matrix of four quadrants based on the Eisenhower method, used to separate urgent work from important work and to hold ideas until they are ready.
- Item details and files
- Items carry icons, notes, dates, progress, effort estimates and attached files, and can be sorted, tagged, filtered and searched.
- Assignments, followers and chat
- A task is assigned to one owner and can have several followers. An in-app chat and history stream record the conversation and progress for each item or project.
- Reports and Gantt charts
- Daily, weekly or custom-period reports show status by project or by teammate. Advanced reports and Gantt charts start at the PM Collaborate plan.
- Outlook and Microsoft Teams add-ins
- The Outlook add-in turns emails into tasks with due dates and reminders. The Teams app manages projects inside Teams and sends reminders through a chatbot.
- Native apps with offline use
- Apps for Mac, Windows, iOS and Android keep local storage and caches so work continues offline, alongside a web app and browser extensions.
Taska
- Eisenhower Matrix
- Tasks go into one of four boxes by urgency and importance and are dragged between boxes as priorities change. Release notes describe keeping several matrices and swiping between them.
- Focus timer
- Tapping a task starts a timer with 15, 25 and 45-minute presets or a custom length, and the running session shows on the Lock Screen.
- Calendar auto-log and Schedule tab
- A finished focus session is saved to the iOS Calendar as an event. The Schedule tab shows the day on a timeline next to a monthly calendar.
- Lock Screen wallpaper
- A Shortcuts automation redraws the matrix as the Lock Screen or Home Screen wallpaper when the app opens or closes, or at a set time each day.
- Widgets
- Home Screen widgets show tasks without opening the app. A vendor notice says the March 2026 update rebuilt the set as 32 widgets.
- iCloud and Reminders sync
- Data syncs through iCloud with no sign-up, and release notes describe syncing tasks with Apple Reminders.
