Value for money
CPro is $12 a user a month billed annually, or $15 monthly. A typical to-do app starts around $3.99, so this sits at the dear end, even for a team tool. And Gantt charts and advanced reports aren't in Pro. They need PM Collaborate, which costs the same but has a 5-user minimum.
BBusiness Time is $9 a user a month, capped at $99 a month however big the team. That's dear for a plain to-do list, but this does time tracking and client billing, and it's about what its listed rivals charge per user. No annual plan is listed, and paid months aren't refunded.
Free plan and trial
BThere's a real free tier for up to 5 people, but it stops at 5 projects and 100 open items (250 counting finished ones), with Gantt charts and reports switched off. You land on it when the 14-day trial, which needs no credit card, runs out.
ASolo Free gives one staff user tasks, time tracking, billing, reports, unlimited clients and projects, client log-ins and 1GB of storage, with no card asked for. A freelancer could run a whole business on it. You just can't put your own branding on the reports.
Features
AEvery project is a four-quadrant matrix. Items carry an owner, followers, dates, progress, effort estimates, files and their own chat. Reports show status by project or teammate, Gantt charts come on the higher plans, and an Outlook add-in turns emails into tasks. That's the whole job and then some.
ATasks tied to clients and projects, a timer on each task, billing rates per project and per person, and itemized reports shared with clients by link. Email a task into your workspace, repeat it on a schedule, sort it on a kanban dashboard. Clients can log in and see only their own work.
Ease of use
A4.6 from about 1,400 App Store ratings. The idea is easy to pick up: four quadrants, and each task goes in one of them.
BA new workspace starts with a 14-day trial of everything, with no card, so you can poke around first. But linking tasks, clients, rates and reports is more to set up than a simple list. There's no rating on record to go by, so it stops at a B.
Platforms and integrations
AWeb, Mac, Windows, iOS, Android and browser extensions, and the native apps keep working offline. Add-ins put it inside Outlook and Microsoft Teams, and Gmail is on the list too. API developer access is listed only under Enterprise.
AWeb, iPhone and Android, with a Zapier Zap, an Add-Task API, a hosted MCP server for AI agents and due dates that sync to any iCal-compatible calendar. Mind the catch: the vendor calls the mobile apps companions, and billing reports are prepared in the web app.

Key features

Priority Matrix

Four-quadrant projects
Each project is a matrix of four quadrants based on the Eisenhower method, used to separate urgent work from important work and to hold ideas until they are ready.
Item details and files
Items carry icons, notes, dates, progress, effort estimates and attached files, and can be sorted, tagged, filtered and searched.
Assignments, followers and chat
A task is assigned to one owner and can have several followers. An in-app chat and history stream record the conversation and progress for each item or project.
Reports and Gantt charts
Daily, weekly or custom-period reports show status by project or by teammate. Advanced reports and Gantt charts start at the PM Collaborate plan.
Outlook and Microsoft Teams add-ins
The Outlook add-in turns emails into tasks with due dates and reminders. The Teams app manages projects inside Teams and sends reminders through a chatbot.
Native apps with offline use
Apps for Mac, Windows, iOS and Android keep local storage and caches so work continues offline, alongside a web app and browser extensions.

Tasks tied to clients and projects
In-house, personal and client tasks share one workspace. A task links to a client, a project, files and team members, and custom labels and kanban dashboards sort the list.
Time tracking on each task
A timer starts from the task, or time is logged by hand afterward. Time is recorded against the individual task, not only against the project.
Billing rates and reports
Billing rates are set per project and per staff member, time is marked billable or not, and itemized billing reports with fixed charges are shared with clients by link.
Repeating tasks and calendar sync
Each occurrence of a recurring task can be changed on its own and has its own reminders. Due dates sync to any iCal-compatible calendar.
Email-in tasks and client access
Every workspace has an email address that turns messages and attachments into tasks. Clients can be invited to see only their own work, and contractors limited to set clients.
API, Zapier and MCP server
An Add-Task API and a Zapier Zap create tasks from other apps, and a hosted MCP server lets an AI agent manage tasks and log time through OAuth.
