Who each one suits

OpenProject

  • Organizations that want to self-host an open-source project tool
  • Teams combining Gantt-based planning with Scrum or Kanban
  • Organizations that need their project data hosted in the EU
  • Construction teams working with BIM models, through the paid BIM add-on

Planio

  • Software teams that want issues, repositories and a wiki in one hosted service
  • Organizations already using Redmine that prefer not to host it themselves
  • Teams that answer customer email from the same tool as their issues

Worth knowing

OpenProject

  • The free Community edition is self-hosted only. The hosted cloud starts at the paid Basic plan with a 5-user minimum.
  • Professional requires at least 25 users and Premium at least 100. On-premises Enterprise plans start at 25 users and a one-year term.
  • Single sign-on needs Professional or higher, and SCIM provisioning is limited to the Corporate plan.
  • The iOS and Android apps are in beta and described by the vendor as companions to the web application.

Planio

  • Plans cap both active projects and active users: Silver stops at 3 projects and 5 users, and Platinum at 40 projects and 45 users.
  • Planio Storage is a paid add-on below Platinum, and Help Desk is a paid add-on on Silver and Gold.
  • The free Bronze plan is limited to 1 project, 2 users and 1 GB, and moving up from it does not include the 30-day trial.
  • A custom domain is included only in Enterprise; the FAQ lists it as a paid extra at 15 euros a month on other plans.

Key features

OpenProject

Work packages and Gantt charts
Work is broken into work packages such as tasks, features, phases and milestones, then scheduled on Gantt charts with relations and automatic or manual scheduling.
Agile boards and Scrum
Kanban, team, version and subproject boards, a product backlog, sprint boards, story points and burndown charts are all part of the free Community edition.
Time tracking, costs and budgets
Time is logged on work packages, unit and labor costs are tracked against budgets, and reports break down spent time and costs.
Meetings, wiki and documents
Meeting agendas and minutes link to work packages, and a wiki, forums and collaboratively edited documents hold project information in one place.
Self-hosting or vendor cloud
The Community edition installs on your own Linux servers from DEB or RPM packages, Docker, Kubernetes or Helm charts. Enterprise cloud is hosted by OpenProject in the EU.
Tiered Enterprise add-ons
Paid plans unlock extra features by tier: the team planner on Basic, single sign-on on Professional, and portfolio and resource management on Premium.

Planio

Issue tracking and workflows
Issues carry configurable fields such as status, priority, assignee and dates, and role-based workflows define which steps each participant may take.
Agile boards, roadmaps and Gantt
Plan sprints on a Kanban-style agile board, or assign issues to milestones and follow them on a roadmap and an automatically generated Gantt chart.
Git and Subversion hosting
The pricing page lists an unlimited number of Git and Subversion repositories for its plans, and GitHub repositories can be mirrored into Planio.
Wiki and discussions
Each project can have its own wiki and forum for recording decisions, and chat messages, updates and comments are kept with the work they refer to.
Help Desk
Emails from customers become issues, with auto-replies, reply templates and a tracking page customers can open without logging in. It is an add-on on Silver and Gold.
Time tracking and mobile apps
Start a timer on an issue and log the time with a comment and activity. Free iOS and Android apps list, filter, create and edit issues.
