Worth knowing

ActiveCollab

  • There is no free plan, only a 14-day trial, and the pricing FAQ states a no-refund policy for subscriptions.
  • Plus is capped at 3 members; time and expense reporting need Pro, and invoicing, budgeting and workload management need Pro+.
  • Zapier, Slack and webhook integrations and the MCP server start on Pro; Plus lists only Dropbox and Google Workspace integrations.
  • The self-hosted edition is priced by quote, and upgrades after the first year require a yearly support plan.

Avaza

  • Plans include a fixed number of users per role; extra timesheet, scheduling or admin/finance users cost $7 a month each.
  • The Free plan stops at 5 active projects, 10 customers, 5 invoices and bills a month and 100 MB of storage.
  • Every plan includes only 1 resource scheduling user and 5 chat members; more are paid add-ons.
  • The iOS and Android apps are for time tracking. The pricing page describes the rest as a responsive web app with no software to install.

Key features

ActiveCollab

List, Kanban and Gantt task views
Every plan shows tasks in three views and includes subtasks, recurring tasks, project templates and task dependencies that update automatically.
Built-in time tracking
A stopwatch, manual time entries and personal timesheets are in every plan. Time reports start on Pro and team timesheets on Pro+.
Workload and capacity planning
Pro+ adds workload management, capacity planning, utilization, user availability and days-off management.
Invoices, budgets and payments
Pro+ covers estimates, invoicing, project budgets, budget against cost tracking and profitability, with PayPal and Stripe payment gateways and a QuickBooks integration.
Free client access
Any number of people can be invited in the Client role at no cost on every plan, and clients do not use up a seat.
Chat, discussions and notes
An integrated chat app sits alongside unlimited discussions and notes, so project conversation stays in the same workspace as the tasks.

Avaza

Tasks in lists, boards and Gantt charts
Tasks carry priorities, deadlines and assignees and can be viewed as a list, a kanban board or a Gantt chart, grouped by project, assignee or priority.
Resource scheduling
A drag-and-drop schedule books people onto projects, with an availability bar that shows who is under or over capacity. Leave and public holidays can be added.
Timesheets and timers
Time is logged with a start-stop timer or entered by day or week, marked billable or not, and compared with task estimates. Customers can approve timesheets.
Quotes and invoicing
Estimates can be converted into projects or invoices, and uninvoiced time, expenses and fixed amounts are pulled onto an invoice that can be paid online.
Expense tracking
Staff record expenses in the browser or the mobile apps, or email a photo of a receipt to Avaza, and link each one to a project or client.
Team chat
Channels and direct chats for team members, with external contacts able to chat at no charge. Each plan includes 5 team members with chat access.
