Who each one suits

Avaza

  • Consultancies and agencies that bill clients for tracked time
  • Small teams that want projects, timesheets and invoicing in one tool
  • Businesses with many outside collaborators, who are free on every plan

Productive

  • Agencies and consultancies that bill clients by project
  • Firms that want budgets, resourcing and time tracking in one tool
  • Teams that invite clients into projects, since client seats are free

Worth knowing

Avaza

  • Plans include a fixed number of users per role; extra timesheet, scheduling or admin/finance users cost $7 a month each.
  • The Free plan stops at 5 active projects, 10 customers, 5 invoices and bills a month and 100 MB of storage.
  • Every plan includes only 1 resource scheduling user and 5 chat members; more are paid add-ons.
  • The iOS and Android apps are for time tracking. The pricing page describes the rest as a responsive web app with no software to install.

Productive

  • There is no free plan, and every plan requires at least 3 seats.
  • HRIS and invoicing integrations start on Professional; the HubSpot integration, webhooks and enforced SSO or 2FA need Ultimate, which has no public price.
  • The apps page lists desktop apps for Mac and Windows and mobile apps for iPhone and Android, but no Linux app.
  • The AI Notetaker that joins calls is listed as an add-on rather than part of a plan.

Key features

Avaza

Tasks in lists, boards and Gantt charts
Tasks carry priorities, deadlines and assignees and can be viewed as a list, a kanban board or a Gantt chart, grouped by project, assignee or priority.
Resource scheduling
A drag-and-drop schedule books people onto projects, with an availability bar that shows who is under or over capacity. Leave and public holidays can be added.
Timesheets and timers
Time is logged with a start-stop timer or entered by day or week, marked billable or not, and compared with task estimates. Customers can approve timesheets.
Quotes and invoicing
Estimates can be converted into projects or invoices, and uninvoiced time, expenses and fixed amounts are pulled onto an invoice that can be paid online.
Expense tracking
Staff record expenses in the browser or the mobile apps, or email a photo of a receipt to Avaza, and link each one to a project or client.
Team chat
Channels and direct chats for team members, with external contacts able to chat at no charge. Each plan includes 5 team members with chat access.

Productive

Seven project layouts
Tasks can be shown as a list, table, board, calendar, timeline, Gantt chart or workload view, and customized views can be shared with teammates.
Budgets tied to tracked time
Each logged hour is linked to a project budget, so revenue, cost and margin are reported per project as the work is done.
Resource planning
Plan bookings by person or by project, with tentative and repeating bookings, placeholders, and each person's availability after time off.
Time tracking
Log hours with a timer or by hand on web, desktop or mobile. Entries attach to tasks and can be submitted for approval; the Mac app adds a menu bar timer.
Invoicing and accounting sync
Invoices can be pushed to Xero, QuickBooks Online, Exact, e-conomic, Fortnox or Twinfield with payments synced back. These integrations start on Professional.
AI Assistant, agents and MCP server
An AI Assistant that drafts and summarizes work is included from Essential. Custom agents and connectors are listed under Ultimate, and an MCP server opens the data to Claude or ChatGPT.
