| Value for money | CStarter is $10.99 a user a month billed annually, or $13.49 monthly, which is above the dear end of this category. Seats come in fixed steps too, in blocks of 5 once you pass 5 users. Goals, portfolios and time tracking need Advanced at $24.99. | BIndividual is $10 a month billed yearly as $120, or $12 monthly, which is the dear end of typical for one person. Teams is kinder: $20 a month for 3 users billed yearly, then $8 a month for each extra collaborator. |
| Free plan and trial | BThe Personal plan is free with unlimited tasks and projects, list, board and calendar views and 100+ integrations. Lovely for one person. But it stops at 2 users, so most teams can't stay on it. | BThe free plan only exists in the Instagantt for Asana version: 1 user and up to 3 Asana projects, with Gantt charts, dependencies, milestones and CSV export. The standalone version has a 7-day trial of all features instead, with no credit card required. |
| Features | AList, board, calendar, timeline and Gantt views, rules that automate routine steps, forms that turn requests into tasks, dashboards, and goals and portfolios on Advanced. AI Studio builds workflows from a monthly credit pool. The whole job, with depth. | BDrag-and-drop Gantt scheduling with milestones, baselines and a highlighted critical path, plus table, Kanban board and workload views. It does the chart well. But the plan comparison lists just two dependency types, and the AI Assistant is standalone only. |
| Ease of use | A4.7 from about 15,700 App Store ratings. The same project can be a list, a board or a calendar, so each person gets the view that makes sense to them. | BThere's no App Store rating on record for it, so a B is as high as we go. You schedule by dragging tasks along a timeline, and the AI Assistant can turn a project described in plain English into a first chart. |
| Platforms and integrations | AWeb, Mac, Windows, iPhone and Android, though there's no Linux app. It connects to Slack, Google Drive, Microsoft Teams, Salesforce, Jira Cloud, GitHub, Zoom and Figma, and there's a public API. | BIt's a web app, with no desktop or phone apps listed. The big connection is Asana, with two-way sync of tasks, dates, assignees and custom fields. Claude and Gemini are listed too. A public snapshot link lets anyone open a chart without an account. |

Worth knowing
Asana
- The free Personal plan is limited to 2 users; timeline and Gantt views, forms and custom fields start on Starter.
- Seats are sold in fixed steps: one at a time from 2 to 5 users, then blocks of 5 up to 30 and blocks of 10 up to 100.
- Portfolios, goals, approvals and built-in time tracking need the Advanced plan at $24.99 per user / month.
- The download page lists Mac, Windows, iOS and Android apps but no Linux app.
Instagantt
- The free plan exists only in the Instagantt for Asana version and stops at 3 projects. The standalone version has a 7-day trial instead.
- The AI Assistant and time off are marked standalone only, so they are not part of the Asana-connected version.
- The plan comparison lists two dependency types: finish-to-start and start-to-start.
- After a downgrade, projects are kept but access is paused until you upgrade again, except for the free Asana version.
Key features
Asana
- Project views
- Show a project as a list, board, calendar, timeline or Gantt chart. Timeline and Gantt views start on the Starter plan.
- Rules and forms
- Rules automate routine steps and forms turn incoming requests into tasks. Both start on Starter; form branching needs Advanced.
- Goals and portfolios
- Goals link projects and tasks to company-level objectives, and portfolios track groups of related projects in one place. Both are part of the Advanced plan.
- Workload and resource management
- Shows how much work each person has so tasks can be rebalanced. Capacity planning across the organization is an Enterprise feature.
- Reporting dashboards
- Charts built from live project data to show the state of a team's work, included from the Starter plan.
- AI Teammates and AI Studio
- AI Studio builds AI-driven workflows from a monthly credit pool: 50K credits on Starter, 75K on Advanced and 200K on Enterprise. Extra AI requests are billed per request.
Instagantt
- Drag-and-drop Gantt scheduling
- Tasks, subtasks and sections are placed on a timeline by dragging. Linked tasks reschedule automatically when a predecessor moves, and the critical path is highlighted.
- Two-way Asana sync
- The Instagantt for Asana version pulls in Asana tasks, subtasks, assignees, dates and custom fields as a Gantt chart, and changes in either tool sync to the other.
- AI Assistant
- A project described in plain English is turned into a Gantt chart with tasks, dependencies, milestones and duration estimates. It is available in the standalone version on paid plans.
- Table, board and workload views
- Besides the Gantt chart, projects can be shown as a table, a Kanban board that stays in sync with the timeline, and a workload view of each person's assignments.
- Milestones and baselines
- Milestones mark key deliverables on the timeline, and a saved baseline can be compared with the current schedule to see where tasks have shifted.
- Public snapshots and exports
- A public snapshot is a read-only URL that anyone can open without an account. Paid plans add PDF and image export; CSV export is on every plan.
