Part 01 · Overview

Welcome

What these tools do, how many we grade and what to know before choosing

124

to-do list apps we grade, from their own pages

Task managers for getting things out of your head and done on time.

Before you choose, here are 8 things to know about to-do list apps, worked out from every one we grade.

  1. 1

We grade 124 to-do list apps

102 of them are free or have a free plan, and 17 more let you try before paying. Everything in this guide comes from their own pages and our grades.

  2. 2

Paid plans start at $3 a month in the middle

From $0.08 (Tasks.org) to $29 (Checkli), going by what each one's paid plans start at.

  3. 3

Best value: TickTick, Microsoft To Do and Apple Reminders

Nothing on our chart scores higher than these without costing more.

  4. 4

53 of 124 have iPhone and Android apps

52 run in a web browser and 34 have a Windows app. Check the one you need before you fall for anything.

  5. 5

    The middle GPA is 2.6

21 score 3.0 or higher. The highest is Apple Reminders, at 3.6.

  6. 6

    Best free option: Apple Reminders

Apple Reminders has the highest GPA of the free ones, 3.6. Apple's free to-do app for iPhone, iPad, Mac and Apple Watch.

  7. 7

76 worth keeping, 5 you could make

By our keep-or-make rules, 76 do something you couldn't reasonably build yourself, 5 are simple enough to make with an AI app builder, and 43 are a close call.

  8. 8

3 price changes in the past year

That's how many price moves we've recorded for to-do list apps in twelve months. Prices change, so check the maker's page before you pay.

Part 02 · Top three

Our top three

The three we'd look at first, and who each one suits

The three to-do list apps we'd look at first. First place suits the most people; second and third are the best picks for the people it leaves out. Each has an Insider's Guide of its own.

  1. 1st

    2.8GPA

    Todoist

    Free plan · from $5/mo

    For: Most people

Todoist runs on the web, Mac, Windows, Linux, iPhone and Android, so one list follows you to every device. The free plan covers 5 personal projects with reminders, and paid plans start at $5 per user a month, billed yearly. It has shared projects and a team workspace for when a list stops being yours alone. Its iPhone and iPad app averages 4.8 from about 129,000 ratings. Know the limits: the free plan stops at 5 projects, and the calendar layout and custom reminders need a paid plan.

  2. 2nd

    3.4GPA

    TickTick

    Free plan · from $49.99/yr

For: One person who wants habits and a focus timer in the same app

TickTick runs on the same devices as Todoist and adds a habit tracker and a Pomodoro timer, which Todoist's listing does not have. Premium is $49.99 a year, less than Todoist's yearly price, and its iPhone and iPad app averages 4.9 from about 46,000 ratings. It is second because it is built around one person and shared lists, with no team workspace, and its pricing page shows Premium only as an annual plan. The free plan stops at 9 lists and 99 tasks per list.

    The TickTick Insider’s Guide
  3. 3rd

    3.6GPA

    Microsoft To Do

    Free

For: Anyone who wants to pay nothing

The whole app is free, with no paid tier: lists, due dates, reminders, shared lists and file attachments up to 25 MB. It runs on the web, Windows, Mac, iPhone and Android, and its iPhone and iPad app averages 4.7 from about 268,000 ratings. It is third because it does less than the two above. There is no Linux app, you need a Microsoft account to sign in, and lists can be shared only between personal Microsoft accounts or within one workplace or school.

Part 03 · Pricing

What they cost

What paid plans start at, the best buy at each budget and the free plans

$3

Paid plans start at a middle price of $3 a month across the 69 that charge, from $0.08 (Tasks.org) to $29 (Checkli). 30 more cost nothing at all.

21 of the 99 score above the category's average while starting at or below its middle price. 9 cost more than the middle price and score below the average.

Part 05 · Keep or make

Keep or make?

Which are worth paying for, and which you could make yourself

5

Simple enough to make yourself, of 124

Some software does something you couldn’t reasonably build yourself. Some is simple enough that an AI app builder could make the core of it in an afternoon. Here’s where to-do list apps land, by the same rules for every tool.

  • 76

    Keep it

It does something you could not reasonably make for yourself, or it costs nothing.

  • 43

    Your call

You could make the core of it, and you would give something up.

  • 5

    You could make this

What it does is the kind of thing an AI app builder makes well, and it charges every month.

Worth keeping

  • Apple Reminders

Apple Reminders is free, so making your own would save you nothing.

  • Microsoft To Do

Microsoft To Do is free, so making your own would save you nothing.

  • Google Tasks

The plain part of Google Tasks you could make: tasks, calendar and time blocking. What surrounds it you could not. The 4 things listed below take a company, not a weekend.

  • Super Productivity

Super Productivity is free, so making your own would save you nothing.

You could make these yourself

  • Checkli$348 a year
  • Good Todo$96 a year
  • TasksBoard$47.88 a year
  • Checklist$39.99 a year
  • TeuxDeux$36 a year
